What is a Vendor Master?
A Vendor Master is a centralised database that contains all the key information about a company's vendors and suppliers — including legal name, GSTIN, contact details, bank account information, ERP vendor code, and associated expense categories. It serves as the single source of truth for vendor data across the organisation's procurement, accounts payable, and ERP systems.
In expense and vendor payment management, the Vendor Master is the foundation on which all subsequent processes depend. Invoice OCR validates extracted vendor names against the Master. Approval routing uses vendor IDs to determine the correct workflow. Payments are made to the bank accounts stored in the Master. ERP entries are posted using the vendor codes defined there. Without an accurate, maintained Vendor Master, downstream processes break down.
A well-maintained Vendor Master also plays a critical compliance role in India, where GST input credit eligibility depends on the accuracy of vendor GSTIN details. Incorrect or outdated vendor information can result in disallowed input tax credits and compliance exposure.
